Job Description
The primary responsibilities and focus of our Security Officers are to protect the works of art in the museum and to ensure the safety of the guests and staff. It is imperative that Security Officers be always in the galleries and be alert to the activities of visitors, report any immediate concerns to the Chief of Security and be at work when scheduled.

Job Description
Job Purpose:
The Archives Technician position at The Butler Institute of American Art involves assisting with the delivery, transfer, reference, and management of archival records. The role requires working under supervision to provide reference services and manage records in various filing systems, ensuring compliance with established guidelines.
Requires direct safekeeping of permanent records and historically valuable documents pertaining to the museum and its collection, especially during the rehousing of archival materials.
Primarily responsible for handling documents safely and for sorting them according to internal policies and categories. Responsible for being able to determine which documents fall under categories such as, “Collections Documentation” and “Reference Files,” as sorting documents will comprise much of the position. Will work with various types of materials, including books, catalogs, letters, slides, and film, and will be expected to know proper storage and handling practices for each. Locating and organizing information is a key responsibility of the Archives Tech.
May assist in inventorying the Archives and in flagging any missing or outdated information. May work on the collections management database in creating copies of essential documentation for Curatorial and Registrar access. Will collaborate broadly with the Curator of Archives.

Duties:

  • Preserve records and documents in various media.
  • Copy records and legacy media to computer formats as necessary.
  • Assist in the creation of a digital archive.
  • Digitize essential records on the collections management system.
  • Support the development and refinement of classification systems to facilitate access to archival materials.
  • Sort and arrange documents within each folder according to established archival classification systems during file rehousing, including consistent labeling.
  • Rehouse archival materials from legal-sized to letter-sized folders
  • Administer policy guidelines concerning public access to materials, including assisting in Research Requests.
  • Refile or interfile records in various filing systems such as alphabetic, numeric, and case file number.
  • Evaluate materials to determine outdated or unused materials to be discarded.
  • Keep up-to-date records of circulation and materials, including files removed from the Archives by Curatorial staff or researchers, by closely maintaining a records sign-out sheet.
  • File new information in a coherent and proper system, consistent with provided guidelines.
  • Support in keeping archival spaces clean, neat, and clutter-free.
  • Gain experience in archival processing and physical control of records.
  • Locate unusual or unique information in response to specific requests.
  • Represent the museum to external constituencies.
  • Perform other duties as assigned to support the museum’s collection management and inventory initiatives.

Skills/Qualifications:
A knowledge of archival theory and methods preferred, including as demonstrated by a degree in Information Science, Library Science, or Museum Studies.
Experience in the practice of archival management or library science, as demonstrated by 4-5 years of relevant work experience, preferred.
Strong alphabetization skills, attention to detail, ability to focus on a single, repetitive task without distraction, interpersonal and communication skills, ability to work in both collaborative and independent settings, knowledge of current trends in archival management, ability to adapt to tasks as assigned, and some knowledge of copyright law preferred.
